Terms & Conditions
All exhibitors must agree with the terms and conditions as set out below prior to completing the application form and sending payment. Stands may be reserved by telephone but will not be confirmed without a completed application form and full payment. Please talk to us about other options for holding a stand. We can provisionally hold stands for up to 2 weeks, at which point they become available for sale again.
Booking/Payment
Full payment along with the signed application form must be sent to The Newmarket Wedding Show at time of booking. A VAT receipt will be sent and your application confirmed. The final floor plan will be sent to you by e-mail, six weeks before the event and stand requirements re-confirmed. Cheques should be made payable to "Orangery Flowers" and sent to 74 Mill Lane, Impington, Cambridge, CB24 9HS.
Stands are only available for use by the person/company named on the booking form.
Fashion Show Inclusion
Entry into the fashion show is free but is subject to booking a large stand at the show. Offers will be made to the first stands booked at the show until all spaces have been filled. The fashion show is hosted and managed entirely by Orangery Flowers. For more details please call 0845 257 2921.
Electricity and Power requirements
If power has been requested you will be supplied with a single socket into which an circuit breaker must be used before any equipment or extension leads are used. Please advise of any equipment to be used other than lighting to ensure you are supplied with adequate power.
PAT Testing
A stipulation from Newmarket Racecourse, is that all equipment being brought onto the site is PAT tested. This includes all computers, lamps and extension cables as required. We have been advised that spot checks will be made to check for certification. We understand for small businesses this is a daunting requirement. This is where Orangery Flowers engineering background can assist. We are happy to do your PAT testing for you, at a small charge of £2.00 per item. You would be required to bring your electrical items to our address (please ask for an appointment) for testing and we will do a while you wait service. Once tested your items will be certified for one year and will help with any other shows you will be attending. This service must be completed 2 weeks before the show.
Show Timings
All stands are to be completed ready for exhibition at 10.30am on the morning of the event. Exhibitors are requested not to dismantle exhibits before 4.00pm. Exhibitors will be able to set up their stands from 8am on the morning of the show.
Privacy
The Wedding Planner on behalf of Orangery Flowers will be registering all brides as they enter the show. This database of information will be sent to you within 3 weeks following the show. The database is for your company use only and cannot be sold or passed on to any third party. The database remains the property of Orangery Flowers and any misuse will result in legal action.
Cancellation
No refunds will be given as a result of a cancellation by an exhibitor. Orangery Flowers will endeavor to rebook your stand space and if successful will issue a refund minus a 20% administration charge.
In the event that Orangery Flowers need to cancel the show, then you will be refunded in full.
Orangery Flowers will not be liable from any loss of earnings, resulting from cancellation due to 'force majeure'. In these circumstances, where appropriate, Orangery Flowers will refund all charges, minus a £10 administration charge.
